Under the supervision of the Office Manager, the Receptionist is responsible for operating the switchboard, ensuring the proper routing of calls, greeting clients and visitors, and performing clerical duties.

Essential Functions:

  • Establishes and maintains good working relationships with staff from funding sources, related agencies and other Ibero programs.
  • Answers all incoming phone calls, promptly efficiently and in a courteous manner.
  • Routes incoming calls and takes follow-up messages accurately and completely.
  • Maintains switchboard in good operating conditions by anticipating/detecting and reporting need for repairs.
  • Maintains fax and copier in good operating condition by ordering necessary supplies, detecting and reporting need for repairs.
  • Receives public/client and directs them to the proper staff.
  • Maintains and orders cleaning supplies for maintenance.
  • Maintains all new hire process information and finger printing paperwork.
  • Provides information regarding program location and agency services to callers and visitors.
  • Maintains reception area clean and in order.
  • Provides clerical support to program including, but not limited to typing, filing, translations, picking up mail and routing mail to and from Main Office, etc.
  • Safeguards confidential information.
  • Maintains log of conference room usage.
  • Prepares   purchase orders for Residential Programs.
  • Is available to work outside regularly scheduled working hours.
  • Participates in related agency and community activities.
  • Backfill to Office Manager when he/she is absent.
  • Perform other duties as assigned by supervisor.

Skills and Abilities:

  • High School Diploma or GED.
  • Experience working with community human service providers and working with OPWDD population preferred.
  • Able to operate a switchboard.
  • Bilingual in English and Spanish.
  • Proficiency in use of various types of office equipment including computers, software, copier, fax machine, etc.
  • A combination of training and experience other than the specified, if judged to be adequate for the job, may be considered.

Physical Demands:

The position does require occasional standing, squatting, lifting of up to approximately 20 lbs. And frequent sitting.
